Privacy Notice
Last updated: 19 October 2026.
1. Who is responsible for personal data?
VEYTU is a conversation and speaking-turn coordination service operated by TRIPL3 A GROUP LTD, a private limited company registered in England and Wales under number 16772756, with registered office at Suite 6705, Unit 3a, 34–35 Hatton Garden, London EC1N 8DX, United Kingdom. For privacy enquiries, contact info@veytu.tripl3a.co.uk.
2. Scope of this notice
This notice applies to the VEYTU web application and the VEYTU information pages hosted on tripl3a.co.uk. VEYTU is currently available as a free pilot; Pro, Business and Business+ subscriptions are not available for purchase. VEYTU organises conversations; it is not a private messaging or recording platform.
3. Information we handle
To create or join a conversation we may process display names, room topics, room and invitation identifiers, speaking requests, queue positions, presence events, session start and end times, and speaking-time summaries. To operate and secure the service, we may process IP addresses, device and browser information, connection metadata and server requests necessary to prevent abuse. If you contact us, we process your email address, message and any information you choose to provide.
Other participants may see your display name and live coordination status. Organisers may view the participation summaries made available by the app. Please do not include sensitive information in room topics, display names or support messages.
4. Live audio and personal notes
When a live call is used, audio is transmitted in real time over WebRTC and the necessary connectivity infrastructure. The current VEYTU application has no built-in audio-recording feature and does not create recordings of conversations. We cannot prevent participants from making recordings outside VEYTU on their own devices; anyone doing so must comply with applicable law and notice requirements.
Personal notes entered in the app's notes feature are stored locally in your browser/device, not as part of the room's shared server record. People with access to your device or browser profile may access local data. Clear the relevant site data when appropriate.
5. Purposes and lawful bases
Providing the service and taking contractual steps: room creation, organiser access, invitation authentication, queues, speaking turns, audio connectivity and sessions (UK GDPR Article 6(1)(b), where applicable). Legitimate interests: security, abuse prevention, service reliability, participation by invited guests and incident handling, balanced against individuals' rights (Article 6(1)(f)). Legal obligation: compliance with applicable obligations and lawful requests (Article 6(1)(c)). Consent: where required for optional cookies or non-essential communications (Article 6(1)(a)); consent may be withdrawn as provided by law.
6. Storage and retention
Active room state is kept on the application server to support reconnection and continuity. Under current application rules, an inactive room expires after approximately 2 hours; an open room expires no later than 24 hours after creation; a closed room's operational record expires 7 days after closure. Expired records are removed from the active application database. These timeframes do not concern audio recordings, because the current application does not make them.
Infrastructure diagnostics, support correspondence, backups and provider-held records may have separate retention cycles necessary for security, support, recovery, auditing or legal obligations. Where a fixed period cannot be specified, retention follows the purpose and relevant provider configurations; contact us for more details about relevant categories. We delete or anonymise information when it is no longer required, subject to lawful retention duties.
7. Browser storage and cookies
The app uses browser session storage for room access and local storage for preferences and personal notes. The VEYTU WordPress information pages may use essential cookies and other technologies managed by the website and its consent-preference system. Where required by law, optional technologies depend on your preferences. You can use the consent controls where presented and your browser settings.
8. Recipients and service providers
We share only what is needed to deliver the service: the live participation information visible to other participants and organisers; Oracle Cloud Infrastructure for application hosting; Cloudflare for WebRTC/TURN connectivity; and SiteGround for the WordPress pages and support email. Telecoms and network providers carry traffic in transit. We do not sell personal data. Stripe is not currently processing paid VEYTU subscriptions; we will update this notice before introducing paid processing.
9. International transfers and security
Internet infrastructure may route or process information outside the UK depending on provider locations and the participants' connections. Where international-transfer rules apply, appropriate protections required by applicable data-protection law must be used. You may ask us for information about relevant destinations and safeguards. Access controls, room invitations and protected HTTPS/WebRTC connections are used; no technical system can be guaranteed completely secure.
10. Your rights
Subject to legal conditions and exemptions, you may request access, correction, erasure, restriction, portability, object to certain processing, or withdraw consent when consent applies. Contact info@veytu.tripl3a.co.uk. We may need proportionate information to verify your identity. You may complain to the UK's Information Commissioner's Office (ICO) without affecting your other legal rights.
11. Children
VEYTU is not designed as a service directed at children under 13. Anyone organising a conversation involving minors should ensure appropriate adult supervision, permissions and compliance with applicable safeguarding rules. We do not deliberately use the service to collect children's data for behavioural advertising.
12. Changes and contact
We may revise this notice to reflect actual changes in the service or the law, updating the date above and providing appropriate notice of material changes. General and privacy enquiries: info@veytu.tripl3a.co.uk.
